Welcome to Black Romance Book Fest (“BRBF”), produced by Black Romance Book Fest, Inc. (“BRBF,” “Organizer,” “we,” “our,” or “us”). These Terms and Conditions govern your purchase of event passes and your participation in the 2027 Black Romance Book Fest.

By purchasing a pass, registering for, or attending BRBF, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. By checking the Terms & Conditions box during checkout, you are providing your electronic signature, which has the same legal effect as a handwritten signature.

1. Registration & Eligibility

1.1 Registration

Registration is complete only after full payment has been received and you have received an official confirmation email from Black Romance Book Fest.

1.2 Eligibility

Black Romance Book Fest is intended for attendees ages 18 and older. Attendees between the ages of 15 and 17 may attend only when accompanied by a parent or legal guardian.

1.3 Registration Information

Attendees are responsible for providing accurate and complete registration information. Black Romance Book Fest is not responsible for issues resulting from inaccurate names, email addresses, or other information provided during registration.

2. Ticket Sales, Payments & Refund Policy

ALL SALES ARE FINAL.

Black Romance Book Fest is a limited-capacity annual event. Registration fees are used immediately to secure venues, entertainment, keynote speakers, event production, staffing, technology, security, insurance, equipment rentals, and other event-related expenses that begin months before the event takes place.

For this reason, all pass purchases are final. Black Romance Book Fest, Inc. does not offer refunds, credits, exchanges, or cancellations for any reason.

This includes, but is not limited to, schedule conflicts, illness or injury, pregnancy, family emergencies, travel delays or cancellations, weather conditions, military obligations, employment changes, visa or passport issues, personal financial hardship, and failure to attend. It also includes dissatisfaction with programming, as well as any changes to speakers, authors, narrators, performers, entertainers, vendors, workshops, or experiences, and any changes to the event schedule or to room assignments or venue layout.

Purchasing a ticket constitutes your acknowledgement and acceptance of this policy.

3. Optional Refund Protection by Spot

To provide attendees with additional flexibility, Black Romance Book Fest offers Refund Guarantee by Spot, an optional third-party cancellation protection service available during checkout.

Refund Guarantee is not included with your registration and must be purchased during the initial checkout process.

If purchased, Spot currently allows you to cancel for any reason up to 24 hours before the event and provides approximately 80% reimbursement of your registration cost, including applicable taxes and fees. No doctor’s note or supporting documentation is required. Claims are handled directly by Spot, and payment is issued by Spot through PayPal or Venmo, typically within 3 to 5 business days.

Refund Guarantee is administered solely by Spot. Black Romance Book Fest, Inc. is not responsible for administering, approving, denying, or processing Spot claims and assumes no responsibility for decisions made by Spot regarding eligibility or reimbursement.

Questions regarding Refund Guarantee should be directed to Spot.

4. Ticket Transfers

If you are unable to attend and did not purchase Refund Guarantee, BRBF permits ticket transfers under certain conditions. Ticket transfers are permitted until 11:59 PM Eastern Time seven (7) days prior to the first day of the event, and no transfers will be permitted after this deadline. The original purchaser is responsible for locating a replacement attendee. BRBF does not facilitate private ticket sales or guarantee that a replacement buyer can be found, and BRBF reserves the right to require verification of both parties before completing a transfer.

To assist attendees, BRBF maintains an official Ticket Transfer and Resale thread within the Black Romance Book Fest Facebook Community.

Black Romance Book Fest, Inc. assumes no responsibility for transactions between private parties and is not liable for fraud, disputes, payment issues, or other matters arising from private ticket sales.

5. Event Programming

Black Romance Book Fest reserves the right to modify, substitute, reschedule, relocate, or cancel any portion of the event at any time. This includes, but is not limited to, authors, speakers, narrators, moderators, entertainers, workshops, panels, experiences, book signings, sponsors, and vendors, as well as session times, event locations, and room assignments.

Programming changes are a normal part of live event planning and do not constitute grounds for a refund, credit, or cancellation.

6. Event Cancellation, Postponement & Force Majeure

Black Romance Book Fest, Inc. reserves the right to postpone, reschedule, relocate, modify, or cancel the Event due to circumstances beyond its reasonable control, including but not limited to acts of God, hurricanes, tornadoes, flooding, fire, pandemics, public health emergencies, government orders, venue closures, labor strikes, civil unrest, terrorism, utility failures, equipment failures, transportation disruptions, or any other event beyond the reasonable control of BRBF.

If the Event is postponed or rescheduled, all registrations will automatically transfer to the new event date unless otherwise communicated by Black Romance Book Fest.

If the Event cannot be held or must be canceled, Black Romance Book Fest, Inc. is not obligated to issue refunds. Instead, BRBF reserves the sole and exclusive right to determine the appropriate remedy, which may include transferring registrations to a future Black Romance Book Fest, issuing event credits toward a future BRBF event, issuing partial or full refunds, or providing another remedy deemed appropriate by BRBF based on the specific circumstances.

The remedy offered, if any, will be determined based on factors including but not limited to contractual obligations, insurance recoveries, nonrecoverable event expenses, and applicable law.

Under no circumstances shall Black Romance Book Fest, Inc. be responsible for reimbursing attendees for airfare, hotel accommodations, rental vehicles, parking, meals, merchandise purchases, lost wages, or any other travel or incidental expenses.

7. Code of Conduct

Black Romance Book Fest is committed to providing a welcoming, respectful, and inclusive environment for everyone. Attendees agree to conduct themselves professionally and respectfully toward all attendees, authors, volunteers, staff, sponsors, vendors, narrators, performers, hotel employees, and partners.

The following behaviors are prohibited: harassment, threatening or abusive behavior, discrimination, physical violence, sexual harassment, theft, and vandalism. Also prohibited are intoxication resulting in disruptive behavior, unauthorized solicitation, unauthorized sales activities, unauthorized distribution of promotional materials, unauthorized recording of paid sessions, and failure to comply with instructions from BRBF staff or venue personnel.

Black Romance Book Fest reserves the right to refuse admission or immediately remove any attendee whose behavior is deemed disruptive, unsafe, or inconsistent with these standards. Removal from the event will occur without refund or compensation.

8. Photography, Video & Media Release

Black Romance Book Fest photographs, livestreams, and records portions of the event.

By attending BRBF, you grant Black Romance Book Fest, Inc. the irrevocable, perpetual, worldwide, royalty-free right to photograph, record, livestream, reproduce, publish, edit, distribute, and use your name, image, voice, likeness, and appearance in any media now known or later developed for promotional, educational, marketing, archival, or commercial purposes without additional notice or compensation.

9. Intellectual Property

All event branding, presentations, educational materials, graphics, logos, recordings, publications, and programming remain the property of Black Romance Book Fest, Inc. or their respective owners.

No attendee may reproduce, distribute, sell, record, livestream, publish, or commercially exploit event content without prior written permission.

10. Privacy

Information collected during registration will be used to process your registration, provide event updates, communicate important event information, improve attendee experience, and coordinate event logistics.

Black Romance Book Fest does not sell attendee information. Information may be shared with trusted third-party vendors solely for purposes necessary to operate the event.

11. Assumption of Risk

Attendance at Black Romance Book Fest is voluntary. Attendees voluntarily assume all risks associated with travel to, attendance at, and participation in the Event.

Attendees are responsible for their own personal property and belongings. Black Romance Book Fest is not responsible for lost, stolen, or damaged personal property.

12. Limitation of Liability

To the fullest extent permitted by law, Black Romance Book Fest, Inc., its officers, directors, employees, volunteers, contractors, sponsors, affiliates, partners, speakers, and venue partners shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages arising out of or related to participation in the Event.

In no event shall Black Romance Book Fest, Inc.’s total liability exceed the amount actually paid by the attendee for their registration.

13. Governing Law & Dispute Resolution

These Terms and Conditions shall be governed by the laws of the State of Georgia without regard to conflict of law principles.

The parties agree to first attempt to resolve any dispute through good-faith negotiations. If a resolution cannot be reached, all disputes shall be resolved through binding arbitration in Fulton County, Georgia. Each party shall bear its own legal fees unless otherwise required by law or awarded by the arbitrator.

14. Amendments

Black Romance Book Fest reserves the right to modify these Terms and Conditions at any time. The version in effect at the time of purchase shall govern your registration unless otherwise required by applicable law.
